Recruitment Policy

At Elecplumb, we collect and process personal data related to job applicants as part of our recruitment process. We are committed to transparency in how we collect and use this data and ensuring we meet our data protection obligations.

Information We Collect:

We collect a variety of information about you, including:

  • Your name, address, and contact details, including email address and phone number.
  • Details of your qualifications, skills, experience, and employment history.
  • Information about your current remuneration, including benefit entitlements.
  • Whether you have a disability that requires reasonable adjustments during the recruitment process.
  • Your eligibility to work in the UK.

This information may be collected in various ways, such as through application forms, CVs, passports or other identity documents, and during interviews or other assessments.

We may also gather personal data about you from third parties, including references from former employers, background check providers, and criminal records checks.

Data is stored in various places, including on your application record, in HR management systems, and other IT systems (including email).

Why We Process Personal Data:

We process your data to take steps at your request before entering into a contract with you and to enter into a contract with you. In some cases, we need to process data to ensure we are complying with our legal obligations, such as checking a successful applicant’s eligibility to work in the UK.

We have a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows us to manage the recruitment process, assess and confirm a candidate’s suitability for employment, and decide to whom to offer a job. We may also need to process data from job applicants to respond to and defend against legal claims.

We seek information about criminal convictions and offences only when necessary to carry out our obligations and exercise specific rights in relation to employment.

We will not use your data for any purpose other than the recruitment exercise for which you have applied.

Who Has Access to Data:

Your information may be shared internally for the purposes of the recruitment process. This includes members of the HR team, interviewers involved in the recruitment process, managers in the department with the vacancy, and IT staff if access to the data is necessary for their roles.

We will not share your data with third parties unless your application for employment is successful and we offer you a job. In this case, we will share your data with former employers to obtain references, background check providers, and the Police and Disclosure and Barring Service for criminal records checks. We will also share your data with any third-party service providers, such as payroll or HR providers.

We will not transfer your data outside the European Economic Area.

Data Protection:

We take the security of your data seriously. We have internal policies and controls in place to ensure your data is not lost, accidentally destroyed, misused, or disclosed, and is not accessed except by our employees in the performance of their duties.

Data Retention:

If your application for employment is unsuccessful, we will hold your data on file for six months after the end of the relevant recruitment process. After this period, your data will be deleted or destroyed.

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file and retained during your employment. You will receive a new privacy notice detailing the retention periods for your data.

If we receive a speculative CV or application and there is no vacancy, we will not retain your data and will destroy it immediately. We will usually notify you of this if your application is by email.

Your Rights:

As a data subject, you have several rights. You can:

  • Access and obtain a copy of your data on request.
  • Require us to change incorrect or incomplete data.
  • Require us to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing.
  • Object to the processing of your data where we are relying on our legitimate interests as the legal ground for processing.

If you believe that we have not complied with your data protection rights, you can complain to the Information Commissioner.

Providing Personal Data:

You are under no statutory or contractual obligation to provide data to us during the recruitment process. However, if you do not provide the information, we may not be able to process your application properly or at all.
